PAPERGRID WORKFLOW GUIDE
A practical, privacy-first workflow
Build a board pack by freezing the approved source files, placing the agenda first, ordering papers by agenda item, merging the PDFs, numbering the final pages and completing a page-by-page quality check.
Board and leadership papers can contain confidential financial, people and strategy information. PaperGrid's supported merge, organize and page-number tools run locally in your browser, but your organization's document-handling rules still apply.
Open Merge PDFSTEP BY STEP
How to do it
- Create a final working folder and include only approved versions of the agenda and papers.
- Export every source document to PDF and check its orientation and page size.
- Arrange the files in agenda order: cover, agenda, minutes or actions, then papers and appendices.
- Merge the PDFs and add page numbers to the combined file when your governance process permits it.
- Review the complete pack, confirm approvals and publish it through your authorized channel.
Use an agenda-led file order
The pack should follow the meeting, not the order in which attachments arrived. Match each paper to its agenda item and place supporting appendices directly after the paper they support.
- Cover and confidentiality marking
- Agenda
- Previous minutes and action log
- Decision and discussion papers
- Information papers
- Appendices
Control versions before you merge
Use a single final folder, remove drafts and give each file a sequence number. If a paper changes after the pack is built, replace the approved source and regenerate the whole pack so the distributed version stays consistent.
Board-pack release check
Check the contents page against the merged file, verify page references after numbering, open key links, confirm every page is readable, and ensure the filename or cover identifies the meeting date and version.
- Approved source version for every paper
- Agenda order matches the pack
- No draft comments or hidden pages
- Page references are correct
- Authorized distribution channel confirmed
QUESTIONS & ANSWERS
Common questions
What order should a board pack follow?
Use the meeting agenda as the source of truth: agenda first, then each paper and its appendices in agenda-item order.
Should board-pack pages be numbered?
Page numbers make discussion and references easier, but apply them only if they do not conflict with an approved template or existing numbering.
Are board papers uploaded to PaperGrid?
Supported merge, organize and numbering operations run locally in the browser. You must still follow your organization's confidentiality policy.
