PAPERGRID WORKFLOW GUIDE
A practical, privacy-first workflow
Create a review-ready receipt pack by matching each receipt to the expense report, ordering the files consistently, converting images to PDF when needed, and merging the PDFs into one checked document.
A single receipt pack is easier to review when its sequence matches the expense report. PaperGrid can convert JPG or PNG receipts to PDF and merge PDF receipts locally in the browser, keeping the document contents on your device.
Open Merge PDFSTEP BY STEP
How to do it
- Collect the receipt files and compare them with the expense-report line items.
- Rename files by date or line number so missing receipts and duplicates are easier to spot.
- Convert JPG or PNG receipts with JPG to PDF; keep original PDF receipts as they are.
- Add the PDFs to Merge PDF in the same sequence as the expense report and merge them.
- Open the result and verify dates, amounts, orientation and readability before submission.
Use one repeatable ordering rule
Choose the sequence your reviewer expects and use it throughout the pack. Date order is simple; expense-report line order is even easier when the reviewer is matching evidence to a claim.
- Expense-report line order
- Transaction date
- Merchant name
- Project or cost-code group
Handle phone photos before merging
Crop the photo in your phone's editor, rotate it upright and make sure the merchant, date, currency and total are readable. Then use PaperGrid's JPG to PDF tool. Avoid enlarging a blurry photo because it increases file size without restoring detail.
Receipt-pack quality check
Compare the merged pack against the claim one line at a time. Confirm that multi-page invoices are complete, credit notes are clearly identified, and no unrelated personal receipt is included.
- Every claimed item has evidence
- Amounts and currencies are readable
- Pages are upright
- No duplicate receipts
- Sensitive unrelated details are excluded
QUESTIONS & ANSWERS
Common questions
Can I combine receipt photos and receipt PDFs?
Yes. First convert the JPG or PNG photos to PDF, then merge those PDFs with the original PDF receipts.
What order should receipts use?
Use the order that matches the expense report when possible. Otherwise, date order is a clear default.
Does PaperGrid store my receipts?
No. The supported conversion and merge tools run in the browser and PaperGrid does not retain the receipt files.
